From inception in 2000 to present day, Smart Data Solutions has always been founded on the principles of listening, understanding, and delivering customized solutions to meet our clients’ needs.  We originally started with the idea to provide cost effective OCR solutions as a front end data capture service to payers. That process expanded beyond just a single pass OCR solution to include integrated quality control processes, enhanced validation checks, and business rule transformations.  Our services then continued beyond our standard claim form capture processes expanding into non-standard claim forms, correspondence, and enrollment processing as well. We continued growth and expansion and added full clearinghouse functionality to our paper capture processes. All of this creates a full suite of services and features which provides a full front-end intake gateway for our clients consolidating all submission sources and delivering information in the formats needed.  

We continue to look toward the future, further enhancing our solution with artificial intelligence, machine learning processes, and continued data capture improvement.  We are committed to research and innovation to meet the ever changing and growing needs of our clients.

Pat Bollom
Co-CEO

Pat Bollom has been co-owner of Smart Data Solutions since its inception in 2001. Prior to Smart Data, Pat was a principal at Harbinger Partners, a local IT consulting firm that focused on object-oriented development, data warehousing, and project management. After taking Harbinger to $9M within two years, Pat joined John with the Smart Data endeavor. Pat was an integral part of another Information Technology company prior to Harbinger and managed all sales and marketing efforts while assisting with revenue generation. In his 5 years at that firm, he was essential in building the company from $1.5M in revenue to $7M.

After graduating from St. Cloud State University with an undergraduate degree in Marketing, Pat earned his MBA from The University of Minnesota. Pat has also pursued other specific education and training in areas of E-business and healthcare. Pat is an active member of Vistage and a graduate of The Leadership St. Paul program. Pat has also earned his Silver Triangle Award teaching Junior Achievement.

Pat and his wife enjoy spending time with their two children and he also enjoys spending time boating, hunting, playing tennis and actively participating in local charities.

Pierre Kormann joined Smart Data Solutions in 2018 to manage the daily operations of the Document Intake Processing Centers, Data Entry Facility in Superior, WI and Quality and Production teams. Before joining Smart Data, Pierre was COO at Storeworks Technology, a provider of retailer technology and consulting, where he was responsible for day to day company management, including sales development, PMO, engineering, logistics and IT. Prior to Storeworks, Pierre was COO at Comm-Works, a global technology systems integrator, where he was responsible for leading PMO, engineering, vendor management, procurement, logistics and field operations.

After graduating from St. Olaf College with a his bachelor’s degree in Psychology and Philosophy, Pierre earned his Master’s degree from Northeastern University and later his MBA from the University of Saint Thomas – School of Business. Pierre has been an active member of Vistage.

Pierre and his wife enjoy spending time with their three children, volunteering and traveling.

Vice President of Implementation & Service

Ben Gust started his career with Smart Data Solutions in 2007 as a Developer following his college graduation. During his tenure with SDS Ben has worked his way up to his most recent position of Vice President of Implementation & Service. Ben has directly implemented or overseen the implementing team on 400+ implementations and thousands of statements of work.
Ben is responsible for a consistent customer experience during both the implementation and ongoing support of an account. He works with the development staff to ensure that the development team meets project requirements without introducing any workflow regressions. He’ll also collaborate with customers to automate / streamline to increase efficiency on high cost workflows.
Ben graduated from The University of Wisconsin – Stout in 2007 with his bachelor’s degree in Applied Math and Computer Science.
Ben and his wife keep busy with traveling and spending time with their two young daughters. In his spare time, Ben also enjoys socializing with friends and working on his house.

Kristine is responsible for all finance operations including accounts payable, accounts receivable, and reporting. She also oversees all human resource functions for employees at our five SDS facilities, including payroll, benefits, recruitment, and on-boarding.

As a proud graduate of The University of Minnesota, Kristine received her bachelor’s degree in Economics.

Susan joined Smart Data Solutions in 2016 focusing on marketing strategy, campaign execution and creating an inbound marketing funnel. Susan has over 10 years of marketing/advertising experience and over 12 years of customer service experience.

As the VP of Marketing & Customer Experience, Susan oversees the Marketing, Sales, BeneQuick Enrollment Sales, Solution Engineers, and Customer Success teams.

Before joining Smart Data Solutions, Susan held a graphic design position at Crest Healthcare Supply, a healthcare manufacturing company. As well as an advertising position for Fleet Farm, a large Midwestern retail company. During her tenure with these organizations, they saw exponential growth in which marketing directly contributed to.

As a graduate of The Art Institutes International Minnesota, Susan received her Bachelor of Science degree in Graphic Design. Susan is working towards multiple marketing certifications from HubSpot.

What disaster recovery and business continuity systems are in place?

SDS has a full disaster recovery and business continuity plan in place to effectively react to loss of electrical, loss of network, loss of physical computing facility, loss of employee, and loss of keying facility. The goal of SDS is to restore business continuity within 48 hours of an outage or disaster. SDS maintains a parallel computing infrastructure. Each facility is capable of supporting SDS production. SDS contingency business partners already work some SDS jobs and have high production potential. SDS tests this plan annually.

How does Smart Data Solutions and Smart Data Stream stay current with federal regulations?

We continually monitor the regulatory environment to understand the full scope of our compliance responsibilities. When changes are made, we respond well in advance, and test all changes to make sure we remain in compliance.

Smart Data adheres to all HIPAA mandates. All employees are trained on the privacy and security aspects involved with HIPAA and Smart Data has taken precautions to make sure we are HIPAA compliant. Our data centers are highly secure, and our scanning centers have multiple security points prior to access. Our log in requires double user name password along with IP address restrictions.

We are very serious about maintaining compliance with HIPAA security requirements. Specifically, we are SOC 2 type two certified and recently completed an extensive security and penetration audit. In addition, we are an active member of both the EDI standards board and WEDI, for which we attend conferences and participate in educational forums to discuss policy updates. Our entire process is secure and adheres to all HIPAA mandates in each of our services — from the initial image upload, through the data-capture, data-scrubbing, archiving and all the way to the file return and EDI routing. All employees are trained on the privacy and security aspects involved with HIPAA.

We use the above to assess risk after which we prioritize remediation. Many security initiatives are identified internally. For example, we recently implemented password encryption within our database.

What does the implementation process look like? What can we expect, and how does SDS support it?

  • We will first host a kick-off call to ensure a smooth transfer from sales to development. Your SDS sales rep will fill out an implementation kick-off call outline for you, and that outline will be used during the kick-off meeting
  • It’s a team approach. You’re working with our Implementation Director, a Senior Implementation Manager, and an Account Management Programmer – they drive the implementation
  • Structure is 1 weekly call between our companies to ensure action items are getting accomplished. SDS utilizes project management tool to track action items, risks, timelines, etc.
  • SDS provides implementation checklists, guidelines, best practices, etc.
  • Large amounts of testing.

What is Smart Data’s requirement for customer support in terms of response time and resolution?

SDS’ requirement is same day response time if the request is received before 4:45 pm central Monday through Thursday and 3:00 pm central on Friday. This is fully tracked and audited. Additionally, we offer 24/7 on-shore support which is supported by our development team.
